1. Who we are

TruckInMotion ("we", "us") provides fleet management software for small material-hauling operators. This policy describes what data we collect from organizations and individual users, and how we use it.

2. Information we collect

  • Account data: name, email, password hash, organization name, role.
  • Operational data you provide: clients, trucks, drivers, materials, locations, trips, invoices.
  • Driver telemetry: GPS coordinates and timestamps captured at the moments a driver records a trip event (arrive, load, dump, complete). We do not run background location tracking.
  • Attachments: ticket photos and other files drivers or admins upload, stored privately per organization.
  • Diagnostics: error reports, request logs, and basic usage metrics to keep the service running.

3. How we use information

  • To deliver the service (rendering trips, generating invoices, sending emails you initiate).
  • To secure the service (authentication, rate limiting, abuse prevention).
  • To improve reliability and fix bugs.
  • To communicate about service changes, billing, or support requests.

We do not sell personal information and we do not use customer operational data to train AI models.

4. Data sharing

We share data only with infrastructure subprocessors required to run the service (managed database and hosting, transactional email delivery, map address lookups). These providers are contractually limited to processing data on our behalf.

5. Data retention

Operational records are retained for as long as the organization remains active. Soft-deleted ("archived") records are kept so financial history stays intact. On written request from an account owner, we will permanently delete an organization's data within 30 days, subject to legal retention requirements (e.g. invoice records).

6. Security

Data is encrypted in transit (TLS) and at rest. Each organization's data is isolated by row-level access rules; only members of that organization can read or write it. Drivers can only access their own assigned trips.

7. Your choices

  • Access, correct, or export your data by contacting your organization owner or our support team.
  • Drivers may revoke browser geolocation permission at any time; event capture continues, just without a fix.
